People and roles

Invite people, change roles, set monthly credit caps and remove members from your workspace.

ForOrganisation admins

On this page10 sections

People is where organisation admins see everyone in the workspace, invite new people, choose what each person can do and set how much credit they can use each month. Everyone in a workspace shares its credits and anything shared with the organisation, so this is where you keep that team in shape.

Where to find it

Open Settings from the left sidebar and choose People under Workspace. You can also open the account menu at the bottom of the sidebar and select Invite members, which opens People for you.

You'll only see People if you're an organisation admin, or an Enterprise admin in an Enterprise workspace. If someone else opens it, they see the message "Only organisation admins can view people and credit usage."

Roles at a glance

Every member of a workspace has one of two workspace roles.

Admin Member
Description in Yori Can manage people, billing and settings. Standard access without admin controls.
Use projects, chat, Knowledge and other everyday features Yes Yes
See their own usage in Usage Yes Yes
Open People in Settings Yes No
Invite people and change roles Yes No
Set monthly credit caps Yes No
Change the plan or buy credits in Plans & credits Yes No, they can view it
See everyone's usage in Usage Yes, on plans that include team reporting No
Change the workspace name, URL and logo Yes No, they can view them

Roles control what someone can do in the workspace. They don't open up someone else's private projects or chats. Who can see a Brand Profile, Audience or Service is set on that item. See Permissions and sharing.

Enterprise roles

In an Enterprise workspace, people can also hold an Enterprise role: Enterprise Admin, Billing Manager or Partner/Content Manager. These control access to the Enterprise tools and are separate from the workspace role. An Enterprise role shows in small text under the workspace role in People. See Enterprise admins.

What you'll see

The top of People shows a summary, for example "4 members and 1 pending invitation share Acme's projects and credits", with Invite people on the right.

Search, filter and export

  • Search by name or email: type to narrow the list. Press Esc or select the X to clear the search.
  • Role filter: choose All roles, Admins or Members. Each option shows how many people it covers.
  • Export: download a CSV file of everyone who matches your search and filter, including pending invitations. The file includes each person's name, email, status, role, the date they joined or were invited, their usage and their monthly cap.

Pending invitations

If anyone hasn't accepted an invitation yet, a bar above the list shows how many invitations are pending, with the first one's email address, the date it was sent and the role offered. Select Show all to see every pending invitation, or Hide to fold the list away again. Select the copy button next to an invitation to copy its invite link, so you can send it to the person yourself.

The people list

Each row shows:

  • Member: the person's photo or initials, name and email address. Your own row is marked You.
  • Role: Admin or Member. Admins can change it here for anyone except themselves.
  • This month: credits used so far this month. If the person has a monthly cap, you'll see a bar showing how close they are to it, and Cap reached when they hit it. AI paused means their cap is set to 0. No cap means there's no monthly limit.
  • Total: the total credits the person has used.
  • Joined: the date they joined the workspace.
  • More actions (the ... button) at the end of the row.

On a phone, people appear as a list instead. Tap a person to open a panel with their role and the same actions.

Invite people

For your verified company email, Anyone with an @yourcompany.com email can join is on for new workspaces. Switch it off to require invitations.

  1. Select Invite people.
  2. Under Email addresses, type or paste one or more addresses. Separate them with commas or spaces, or press Enter or Tab after each one. Each address becomes a chip. Press Backspace to remove the last chip, or select the X on a chip to remove it.
  3. Under Role, choose Member or Admin. On Free trial and Pro, everyone you invite joins as a Member.
  4. Select Send invite. If you've added several addresses, the button reads, for example, Send 3 invites.

Each person gets an email inviting them to join the workspace. Any address that isn't valid turns red, and Yori tells you which ones need fixing before you can send.

When it's available, you can select Copy invite link instead to copy a link and share it yourself.

Accepting an invitation

The person you invite can accept from the email. If they already use Yori, the workspace also appears in their account menu marked Invited. They select Join to accept and switch to it. Workspaces they're allowed to join (for example, because of their email domain) can appear marked Suggested.

Change someone's role

  1. In the Role column, select the person's current role.
  2. Choose Admin or Member.

Yori confirms the change with a message such as "Sam is now an Admin."

When you change an admin to a member, Yori asks you to confirm first: "Make Sam a Member? Sam will lose access to billing, People and workspace settings. You can change this back at any time." Select Make Member to continue.

A few rules keep the workspace safe:

  • Making someone an Admin is part of Team roles and permissions, which comes with Business and Enterprise. On Free trial and Pro, you can still change an admin to a member.
  • You can't change your own role. Ask another admin to do it.
  • Every workspace needs at least one admin. To step down, make someone else an admin first.
  • If someone else changed the same person's role at the same time, Yori asks you to refresh People and try again.

Set a monthly credit cap

A monthly cap limits how many credits a person can use each month. It's useful for keeping usage even across a team.

  1. Select the person's This month cell, or open More actions and choose Set monthly cap.
  2. Choose one option:
    • No cap: they can use credits without a monthly limit.
    • Pause AI: they can't use AI until you change this.
    • Custom: enter the number of credits they can use each month.
  3. Select Save cap.

A custom cap must be a whole number between 0 and 50,000.

Cap several people at once

  1. Tick the boxes next to the people you want. To select everyone shown, tick the box in the header.
  2. In the dark bar that appears, select Set monthly cap.
  3. Choose a cap and select Save cap. Each person gets the same limit.

The same bar has Export selected to download a CSV of just those people, and an X to clear your selection.

For how credits work, see Credits and billing.

More actions

The ... button on each row can show:

  • Set monthly cap: as above.
  • Enterprise role: choose this person's Enterprise role. Only in Enterprise workspaces, for Enterprise admins.
  • View usage: open Usage showing everyone's activity. Only on plans that include team reporting.
  • Copy email: copy the person's email address.
  • Account settings: open the Organisation window to manage members there.

Remove someone from the workspace

  1. On any row, open More actions and choose Account settings. The Organisation window opens.
  2. Go to the members list in that window.
  3. Find the person, open their menu and choose to remove them. Confirm when asked.

The same window lets you revoke an invitation that hasn't been accepted yet. Once removed, the person can no longer open the workspace. Their own Yori account stays in place.

Members can't remove themselves. If you want to leave a workspace, ask one of its admins to remove you.

Troubleshooting

  • "We couldn't load people and credit usage": check your connection and select Try again.
  • The role list is greyed out: you're looking at your own row, or you're not an organisation admin.
  • "No one matches": your search found nobody. Select Clear search, or invite them straight from the empty state.
