This page brings together who can see and do what in Yori. Use it when you can't find something a teammate can see, when you're deciding what to share, or when you need to know which role or plan a control depends on.
Five things decide access
Several separate things decide what you can see and do. Each one answers a different question, and one never stands in for another.
| What decides it | The question it answers | Where it's set |
|---|---|---|
| Workspace role | Can you manage people, billing and workspace settings? | People in Settings |
| Ownership | Who can change or delete this item? | Whoever created the item owns it |
| Sharing | Who else can see and use this item? | The item's own share control |
| Plan | Is the feature included for this workspace? | Plans & credits in Settings |
| Credits | Can AI work run right now? | Plans & credits, and your monthly cap in People |
A few rules hold everywhere:
- Being an admin doesn't let you open anyone else's projects, chats or private Knowledge.
- Sharing never changes who owns something. Only the owner can edit or delete it.
- A plan can unlock a share control, but nothing is shared until the owner turns it on.
- Everything belongs to one workspace. If you belong to several, each keeps its own items, roles and settings. See Organisations and workspaces.
Workspace roles
Everyone in a workspace is an Admin or a Member. Your role can be different in each workspace you belong to.
| What you want to do | Admin | Member |
|---|---|---|
| Use projects, chat, Knowledge, Image and video and Connectors | Yes | Yes |
| See your own activity in Usage | Yes | Yes |
| Open People, invite people and change roles | Yes | No |
| Set or remove monthly credit caps | Yes | No |
| Remove someone from the workspace | Yes | No |
| See Plans & credits and Compare plans | Yes | Yes, view only |
| Upgrade, downgrade, buy top-ups or change monthly credits | Yes | No |
| Open Manage billing, invoices or Cancel plan | Yes | No |
| See everyone's activity in Usage | Yes, on Business | No |
| Change the workspace name, URL and logo | Yes | No, view only |
Good to know:
- You can't change your own role, and every workspace needs at least one admin.
- In billing screens, Yori calls admins "billing admins". There's no separate billing role for ordinary workspaces.
- Members can't leave a workspace on their own. Ask an admin to remove you.
See People and roles and Workspace behaviour.
Who can see and change each thing
| Item | Who owns it | Who else can see it | Who can change it | Guide |
|---|---|---|---|---|
| Projects, chats and project documents | The person who created the project | Nobody. There's no way to share a project | The creator | Projects, chats and context |
| Project context and Project defaults | The project creator, and you for your own defaults | Nobody | The creator | Project context and defaults |
| Brand Profiles | The creator | Nobody, until shared with the organisation | The creator | Share Brand Profiles |
| Audiences | The creator | Nobody, until shared with the organisation | The creator | Share Audiences |
| Services | The creator | Nobody, until shared with the organisation | The creator | Service visibility |
| Rules | You | Nobody | You | Rules |
| Memory | You | Nobody | You, by asking Yori in chat | Memory |
| Connector accounts and tool switches | You | Nobody. Teammates connect their own accounts | You | Connectors |
| Automations | You | Nobody | You | Automations |
| Image and video History and saved references | You | Nobody | You | Image and video |
| Theme and layout | You, in this browser | Nobody | You | Appearance and tips |
| Workspace name, URL and logo | The workspace | Everyone in the workspace | Admins | Workspace behaviour |
| Plan and credits | The workspace | Everyone in the workspace | Admins | Plans and features |
Rules have no sharing or visibility control. Each person keeps their own, and they only shape that person's chats.
Sharing Brand Profiles and Audiences
Brand Profiles and Audiences have two settings for who can use them: Only you or Whole team, which shares it with everyone in the workspace. You can't share with one person, and you can't give anyone else permission to edit.
| Owner | Teammate, when shared | |
|---|---|---|
| See it in the list | Yes | Yes, under Shared with me |
| Read every section and its sources | Yes | Yes |
| Use it in a project or as a default | Yes | Yes |
| Open Version history | Yes | Yes |
| Edit, rebuild or restore a version | Yes | No |
| Turn on Use in new projects on the item's page | Yes | No. Use the row menu in the list or Project defaults instead |
| Share it or make it private | Yes, on Business | No |
| Delete it | Yes | No |
- To share a Brand Profile or Audience, select Only you in its header and choose Whole team. The button changes to Shared with team. You can also select Share with team in the row menu on the list.
- On Free trial and Pro, sharing opens Business required. Making something private again works on every plan.
- If the owner makes it private or deletes it, teammates lose access straight away. Their Project defaults window says "A saved default is no longer available."
Services
Services have their own labels:
| Label | Who can use it | Who can edit it |
|---|---|---|
| Private | Only you | You |
| Shared with organisation | You and everyone in your organisation | Only you |
| Shared by teammate | Everyone in your organisation | Only the teammate who owns it |
| Enterprise-assigned | People in the partner workspace it's assigned to | Only the Enterprise team, from the Enterprise area |
| Yori-made | Everyone | Nobody in your workspace |
- Choose Whole team under Only you on a Service's page, or Share with team from its menu, to share a Service you own. This needs Business or Enterprise.
- Shared and Enterprise-assigned Services are read-only to recipients. You can inspect the package tree and file contents the UI displays, but you can't change the original.
- Yori-made Services can be used in chat, but their content isn't shown.
- To get your own editable version of a teammate's Service, use Make a copy. Services from an Enterprise can be used but not copied.
- A copy is a separate private Service. Changes to the original don't reach your copy.
See Services and Service page.
Plan gates
Some controls depend on the workspace's plan. During the Free trial, you can use the same features as Pro.
| Feature | Free trial | Pro | Business | Enterprise |
|---|---|---|---|---|
| Projects, chat, Canvas, Knowledge, Connectors, Yori-made Services | Yes | Yes | Yes | Yes |
| Private Services you create | Up to 3 per person | Up to 3 per person | Unlimited | Unlimited |
| Share Brand Profiles and Audiences | No | No | Yes | Yes |
| Share Services and use the Organisation view | No | No | Yes | Yes |
| See everyone in Usage | No | No | Yes, admins | Yes, admins |
| Buy top-ups and extra monthly credits | No | Yes | Yes | By contract |
| Partner workspaces, analytics and broadcasts | No | No | No | Yes |
When your plan doesn't include something, Yori shows Business required with a View plans button. Only admins can change the plan. See Plans and features.
Enterprise roles
In a workspace on an Enterprise plan, people can also hold an Enterprise role. It's separate from the workspace role and controls the Enterprise area. Workspace admins of the Enterprise workspace are Enterprise admins automatically. Enterprise admins give other people a role from People, using the Enterprise role action.
| What you want to do | Enterprise Admin | Billing Manager | Partner/Content Manager |
|---|---|---|---|
| Open Partner workspaces | Full list and every control | Full list with credit figures | Names and status only |
| Add, launch, pause, archive or disconnect partners | Yes | No | No |
| Invite, resend or revoke partner admin invites | Yes | No | No |
| Set a partner's monthly credit limit and personal limits | Yes | Yes | No |
| Approve or decline a partner's request for more credits | Yes | View only | No |
| Create, edit, delete and assign partner tags | Yes | No | Yes |
| Create and edit partner Brand Profiles and Audiences | Yes | No | Yes |
| Delete partner Brand Profiles and Audiences | Yes | No | No |
| Build and share Services and Solutions libraries | Yes | No | Yes |
| Manage Vendors and Partner branding | Yes | No | Yes |
| Draft broadcasts | Yes | No | Yes |
| Send, schedule, cancel or remove broadcasts | Yes | No | No |
| Analytics | Every tab | Overview and Credits | Every tab except Credits |
| Enterprise Billing: quotes, purchase orders, invoices, billing details | Yes | Yes | No |
| Give people Enterprise roles | Yes | No | No |
Nobody can change their own Enterprise role. Being a workspace admin anywhere else doesn't give you Enterprise access. See Enterprise overview.
Partner workspaces
People in a partner workspace use Yori as normal, with their own Admin and Member roles. They never see the Enterprise area.
| What you want to do | Partner admin | Partner member |
|---|---|---|
| Invite your own team and set personal monthly caps | Yes | No |
| Use Services, Brand Profiles and Audiences your Enterprise shares | Yes, read-only | Yes, read-only |
| Ask the Enterprise for more credits with Request more credits | Yes | No |
| Change the plan or buy top-ups | No, the Enterprise manages credits | No |
| Change the workspace's monthly limit, tags or status | No, ask your Enterprise | No |
Content your Enterprise shares stays theirs. Which Services and Solutions libraries you get depends on the tags your Enterprise gives your workspace. See Partner admins and Partner workspace status.
